Which sharing option fits your cleaner?
| Option | Cleaner setup | Best fit |
|---|---|---|
| Airbnb calendar-only co-host | An Airbnb account and accepted invitation | Your cleaner already uses Airbnb and wants the native calendar. |
| Direct iCal subscription | Add the feed to Apple or Google Calendar | Your cleaner plans work in a personal calendar. |
| Calbnb cleaner link | Open a link in any phone browser | You want a simple checkout schedule without an account. |
Calbnb is free. Airbnb’s calendar-only co-host permission is a built-in alternative; using Calbnb is optional. A shared calendar is enough only if seeing the dates solves the problem. Job assignment, acceptance, payments and completion evidence require a separate workflow.
Option 1: invite a calendar-only co-host
This keeps the schedule inside Airbnb. Calendar access lets a co-host view the listing calendar and check-in and checkout dates, without editing it. Airbnb lists the differences in its co-host permissions guide.
Choose this when the cleaner is comfortable using their own Airbnb account. Follow the calendar-only co-host setup guide, then ask them to check a known reservation. There is little reason to add another tool if this already works for both of you.
Option 2: give them a calendar subscription
Copy the listing’s Airbnb export URL. Your cleaner can add it to Apple Calendar or Google Calendar. Give each property a clear name so several calendars are not confused.
A subscription follows a feed; a downloaded file does not. The receiving app decides when to fetch changes. Do not treat a calendar event appearing on a phone as confirmation that the cleaner has accepted the job.
The original Airbnb feed is shared directly in this option. Its raw contents may include more than the date labels your calendar app displays. If your aim is to share only a simplified schedule, use a separate cleaner view.
Option 3: share a Calbnb link without a co-host account
- Paste your Airbnb export link into Calbnb.
- Check the preview and enter the property’s usual checkout, check-in and timezone.
- Create the calendar. Keep the private host link somewhere you can find it again.
- Copy the cleaner link and send it through your usual messaging app.
- Have the cleaner open it and confirm the next checkout clean.
The cleaner sees upcoming cleans, booking dates, blocked dates and your usual times. They do not see the original feed URL, guest names, contact details or earnings. You can replace the cleaner link in calendar settings if access needs to change; old links and their subscriptions then stop working.
What should you send with the first link?
Send one short explanation of what the schedule means, when it should be checked, and how to confirm a job. Here is an example you can adapt:
For a tight turnover, send the exception directly. Guest counts, sofa-bed setup, mid-stay service and agreed early check-in are not facts Calbnb can infer from the booking dates. Use a cleaning schedule and handoff checklist to make those responsibilities clear.
Will your cleaner receive automatic notifications?
Calbnb refreshes dates but does not send automatic WhatsApp messages, texts, emails or job alerts. Its WhatsApp button opens a message for you to send. A calendar subscription’s alerts depend on the receiving app and its settings.
If nobody is responsible for noticing changes, a shared calendar alone will not fix missed cleans. Agree that responsibility first, or choose a system that tracks assignments and acknowledgements.
Share the dates. Keep it simple.
